Sample Company e-mail policy

This policy provides guidelines for you on how we review company e-mail. And, while we respect our employee’s right to their privacy, we are concerned about work-related use of company provided tools.

We have installed the e-mail system to facilitate company business communications. Employees must be aware that all e-mail is company property and we reserve the right to review any and all communications through our systems. All employee passwords and other security measures must be disclosed to designated management personnel. You should not assume that your e-mail messages are confidential, as they are not. The Company, without your approval or consent, may disclose the contents of any e-mail message.

We have provided e-mail to you for company business and to assist you in performing your job with us. Incidental and occasional personal use of e-mail is permitted, but these messages will be treated as any other on our system.

You may not use our e-mail system for soliciting religious or other personal causes. You may not use the company e-mail system to download any file larger than 300 kb without prior approval of the company designated manager. You may not use the e-mail system for non-job related solicitations.

Do not use our e-mail system to receive or send messages that might be offensive or insulting to other persons. For instance, you may not receive or send e-mail messages that contain sexually explicit text or pictures, that contain racial slurs, or that can be construed as harassment of another.

If we discover that you are misusing our e-mail system you will be subject to disciplinary action up to and including termination of your employment.

This is a sample policy!  Do not  use without legal counsel. Any specific policy for your company should be drafted with the assistance of counsel to make sure legal requirements are met.
